We hold your Personal Data in secure platforms such as Squarespace. We either own and operate these platforms or they are platforms which are owned and operated by our external service providers. We also maintain a hard drive CRM in relation to our clients. Your Personal Data will only be accessed by those who help to obtain, manage or store that information, or who have a legitimate need to know such Personal Data (i.e., our hosting provider, newsletter provider, payment processors or team members).

What We Do With Information We Collect

White Forest Design only collects, holds, uses and discloses Personal Data about you which is reasonable for the purpose of your dealings with us to or conduct our business. These purposes include to:

(1) Provide customer support and respond to customer queries about the products and services that we offer;

(2) Supply products and services;

(3) Maintain records for accounting and administration purposes;

(4) Analyse customer needs and develop customer strategies;

We aim to keep the Personal Data that you share with us confidential. Please note that we may disclose such information if required to do so by law or in the good-faith belief that:

In order for us to provide the products and services to you, your Personal Data will be processed through our website in Australia however please note that some of the servers on which White Forest Design’s customer information and Personal Data is held are located overseas (including the USA). We do not otherwise sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our Website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential. For example, third party service providers and partners who assist us with the functionality of the Website or services, or to deliver, market or promote our goods and services to you. (2) White Forest Design’s contracted service providers, including: website designers and information technology service providers, marketing and communications agencies, mailing houses, freight and courier services, printers and distributors of direct marketing materials;

We may disclose Personal Data to the contracted service provider and the contracted service provider may in turn provide us with Personal Data collected from you in the course of providing the relevant products or services. We take reasonable steps to help ensure that our contracted service providers collect and handle your personal information with care. We may share or transfer non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses. When we share data (to the extent that we do from time to time), it may be transferred to, and processed in, countries other than the country you live.

Where data is shared with a third-party data processor in other countries, we put reasonable safeguards in place to ensure your Personal Data remains protected and in accordance with the trans-border data flows rules in the Privacy Act 1988 (Cth). However, we note that your Personal Data will be captured, transferred, stored and processed in accordance with their policies, practices and in compliance with their local regulatory laws. We will not be liable or responsible for any data breach or any loss or damage or consequential loss caused by any breach, hack or cybersecurity incident concerning third party providers. For users in the European Union, please be aware that we transfer Personal Data outside of the European Union. We retain your Personal Data for the minimum amount of time necessary to provide you with the information, products and/or services that you requested from us. We may retain certain Personal Data for longer periods of time if necessary for legal, contractual and/or accounting obligations.

We take commercially reasonable steps to protect the Personal Data you provide to us from misuse, disclosure, modification or unauthorised access when you transact through our Website. We strive to ensure the security, integrity and privacy of Personal Data submitted to our Website, and we periodically update our security measures in light of current technologies. We sometimes store Personal Data in a spreadsheet on our computer and from time to time, we will print physical shipping labels and invoices that contain your address on it (for the purposes of shipping only). (2) Restricting access to personal information to staff who need it to perform their day to day functions;
